Can IT Admins Secretly Delete Emails from an Employee's Sent Folder in Office 365?

I'm curious about the capabilities of IT administrators when it comes to managing emails in Office 365. Specifically, can an IT admin delete emails from an employee's sent folder without their knowledge? Would the employee have any way of knowing if this happened? Also, how are deleted emails handled in terms of recovery from backups?
Answers
If you're worried about this happening, I suggest keeping an eye on your mailbox activity. While itโs technically feasible for admins to delete, there are rules around email retention and auditing that should ideally protect against misuse.

Been working with Exchange for nearly 30 years, and yes, we absolutely can delete emails from sent items. Deleted emails won't trigger any visible alert on the user's side, but audit logs will reflect those changes, especially in case of legal inquiries.

Yes, admins can definitely delete emails from a sent folder without the employee knowing. In Office 365, itโs possible to use features like the Hard Delete function through KQL query results if you have a high enough license level. As for recovery, if the emails were on the server for over 24 hours, there's a good chance they could be restored from backups.

Absolutely, if an IT admin needs to, they can remove emails from any folder, including sent items. However, those actions are usually logged in an audit trail, so while an employee might not know itโs been deleted, sysadmins can track those changes.

Yes, a global admin can manipulate any mailbox content. However, the deletions are loggedโall actions are captured in audit logs that higher-level IT staff can access. Recovery is possible if the organization has proper retention policies in place.
