Management wants our four-person IT team to replace the ticketing system with a shared WhatsApp Business group to support roughly 350 users across three offices. The current system is imperfect, but it provides an audit trail, asset information, ownership, priorities, service-level tracking, and historical records. Leadership says WhatsApp will save money and speed up responses, while concerns about missed requests, privacy, compliance, after-hours messages, and accountability have been dismissed as resistance to change. Has anyone dealt with a decision like this, and what is the best way to explain the operational and business risks to nontechnical executives?

If cost is genuinely the issue, propose a cheaper or free helpdesk instead. There are open-source and low-cost options, and organizations already using common productivity platforms may be able to build a basic request queue with a form, list, notifications, and reporting. Even a basic ticket system is much safer than making four administrators reconstruct work from a massive chat history.

You’re not crazy. WhatsApp can be an intake channel, but it should not be the system of record. A busy group chat gives you no reliable queue, ownership, priority, SLA tracking, asset history, or dependable audit trail. Requests will get buried, duplicated, or forgotten, and people will later ask why something was missed.
