How can I sync SharePoint files to an on-premise server without daily logins?

Hey everyone! I'm new to this, so please bear with me. Our company is using NextGen EMR, and here's where I need some help. We're currently receiving faxes that get stored in Microsoft SharePoint and then saved to OneDrive. We set up a Power Automate flow to transfer these files to our on-premise servers, which works fine. However, there's a catch: we have to log in to our on-premise servers every day for our staff to access those files in NextGen and process them. I reached out to Microsoft support for a solution, but they didn't have any helpful ideas. I'm hesitant to use third-party applications like rclone due to security concerns, especially since we're in the medical field and need to comply with HIPAA regulations. Is there a way to sync these SharePoint files to our on-premise servers without needing daily logins?

It sounds like you might benefit from setting up a service account. This way, you can automate file transfers without needing to log in every day. Essentially, a service account can run processes in the background and may not require constant manual intervention. Just ensure that this account has the right permissions to access both SharePoint and your on-premise servers. Let me know if you need more details on setting this up!

Hi, what do you mean by service account?

Could you clarify how you’re receiving the faxes? Are you using a self-hosted version of NextGen or their cloud service? NextGen used to have a fax server that could manage files from an SMB folder, which might allow for easier retrieval and syncing. It might be worth looking into that if you haven't already!

We receive the faxes via our RingCentral fax number. Once we get a fax, it goes to our Outlook inbox and then into SharePoint.
