I'm starting a contract sysadmin role at a K–12 school where every student uses a Chromebook and the organization runs entirely on Google Workspace. I need a practical way to track which device is assigned to each student, inventory and device status, lost or damaged equipment, repairs, and temporary spare-device loans. Is the Google Admin Console combined with Google Sheets enough, or is there an affordable asset-management platform that would be easier to maintain? I'm especially interested in workflows that can be automated, such as syncing users and matching Chromebook serial numbers or hostnames.

I’d run Snipe-IT on a small virtual machine and use it as the inventory source for more than just Chromebooks—network gear, phones, printers, and other equipment can all live there. It can sync users through an identity provider such as Google Workspace, and APIs can automate much of the routine work. A simple starting workflow is to import serial numbers, assign devices to students or staff, and let authorized staff check out temporary replacements.
You can also experiment with matching the Chromebook serial number or hostname during sign-in or enrollment, but I’d keep a manual review step so incorrect assignments don’t spread automatically.
Depending on your Google Workspace edition, the built-in endpoint-management features may be enough for a smaller school. They can provide device information and status without adding another platform. However, they generally won’t replace a dedicated checkout and repair workflow, so Google Admin plus a carefully designed Sheet may be the cheapest approach if the fleet is small and only a few people maintain it.
