I'm in search of a replacement for our outdated Print Audit software, as we're unable to obtain a new license to migrate it to a Windows 11 system. The main requirement is that the software allows an admin in our department to set up user balances based on PIN codes or passwords and deduct from these balances when users print. We operate strictly on a pre-paid cash system, although we're open to options that include card processing or bill/coin machines in the future. Currently, we have 10 Windows 11 PCs, two Lexmark M3250 printers, and a Ricoh IM C3000 copier. I tried out PaperCut but found it to be more complex than we need and was told it wouldn't integrate with our printers. Has anyone found any good alternative software options?

Have you checked what version of PaperCut you demoed? They offer different options—like the free on-prem NG version and the paid MF version, which works great if you're in an Active Directory environment. I've been using the Hive version, and it's been fantastic! It doesn’t need a print server either. If you only looked at the MF version, I’d suggest taking a closer look at Hive and Pocket, as they might fit your needs better.
Wait, is the on-prem NG version actually free now? That's news to me!
