What are the best ways to securely share files and see if clients engage with them?

Hey everyone! I often send out proposals and reports to clients, but once I hit send, I'm left in the dark about whether they actually open them or how much they read. I'm looking for a tool or service that allows for secure file sharing and offers features like view tracking, access restrictions, and expiration dates. Ideally, it should be easy for the recipient to use without needing to install any extra software. I'd love to hear your recommendations or experiences with this!

My team uses Kiteworks for sending secure messages. It notifies me when the message is read, and if there are attachments, I get alerts when they are downloaded. It’s been really effective!

Box.com alerts you if a file has been downloaded, while Dropbox doesn’t have that option. Both are great for sharing files, and you can use them without having to create an account.

One thing to keep in mind is that the more visibility and control you add, the more complicated it can get for the recipient. Most systems that track views use authenticated access or a web viewer, which gives you insights like read events and time spent. However, it can feel like a controlled environment rather than just sending a file. For security, look for options that include encryption and access logs. But remember, simpler methods often lead to higher engagement, so finding a balance is key!

This is a common dilemma. Generally, there's a tradeoff between how much tracking you want and how much friction you're causing for the recipient. Many end up using secure cloud services with view-only links and expiration settings, plus simple follow-ups instead of relying heavily on analytics. Sometimes, just reaching out and asking for feedback can be more effective than tracking. Focus on clarity in your documents to encourage engagement!

SharePoint might be a solution for you! There are lots of other web-based options available too; all you need is a web browser for your clients. Just make sure whatever you choose fits your needs for security and engagement tracking.

I highly recommend HelpRange! It allows for secure document sharing, restricts access to specific people, prevents downloads or forwarding, and even shows you who viewed the document and for how long—all without requiring anything to be installed by the recipient.
