Recommendations for a Compact Office Printer with Scan-to-Email Features

I'm in search of a printer suitable for a construction job trailer office. The main requirement is for it to scan company expense receipts directly to email, as that's essential for an older gentleman who will be using it. Any suggestions for printers that can meet this need?

I really recommend Brother printers! They have all-in-one models that can scan directly to email without needing any cloud services, unlike HP. Just make sure to specify if you need color or if black and white will do.

I'm a huge fan of Brother too! I switched from HP after they started pushing their cloud services, and I haven't looked back. I even replaced an old HP at my previous job with a Brother, and it performed like a champ. Everyone in my family is getting a Brother printer from now on.

I deployed a few Brother printers recently but had a lot of print quality issues. They're maintenance-heavy and can be slow making them a hassle.

We use the Brother MFC series for our scanning needs. They have a 'shortcut' setting to scan to email with just one button, which is great for those less tech-savvy. The smaller models like the 2700 series work too, but they might require scanning to a computer first before emailing it.

For a hassle-free option, I'd stick with Brother as well! They don’t require the annoying cloud setup like some other brands. Just ensure it's the right model for color printing if that’s what you need.

Make sure you choose a printer with OAuth 2.0 authentication for scan-to-email. Having a commercial IP address is a must too—private IP use can be hit-or-miss with email services. Here’s a list of Brother printers that support OAuth 2.0: https://support.brother.com/g/b/oscontents.aspx?c=us&lang=en&ossid=42.

If you want something budget-friendly, consider the Xerox B225. It’s only around $300 and won’t make you feel bad about buying another when it inevitably fails after a year or so like most do. Plus, it handles scan-to-email pretty well.

Just a heads up, the lower end Xerox models are often rebranded Lexmark. But they have been reliable for me, aside from one new model that had a firmware issue right after we got it. If you want to avoid the headaches, opt for the B lines.

Xerox is good for scan-to-email without needing a specific account, which is a plus. Just watch out for their firmware updates!

Honestly, try to avoid HP. My last experience with their printers was a nightmare! Seriously, check out this link for a laugh about my experience: https://youtube.com/shorts/st7Gx6HH_xU?si=dSe_FRtqsKEOuMqa
