I'm preparing for a move and trying to understand how employee information flows between administrative systems. For people who manage IT or operations, when an employee changes details such as their address, phone number, legal name, or emergency contact information, which systems commonly fail to update automatically? I'm especially curious about HRIS platforms, identity providers, MFA records, payroll, benefits, internal directories, and third-party services. Is there typically one system of record, or do organizations rely on separate manual processes for some of these updates?

Usually the HRIS is treated as the source of truth, and the identity provider, payroll, benefits, and other connected tools receive updates from it. The gaps tend to be in systems that were set up independently or don’t have a useful integration. Address and phone changes are especially likely to remain manual because IT often doesn’t need those details for account management.
