It feels like nearly every tool we use has its own file storage, including SharePoint, OneDrive, Bluebeam, Autodesk, Adobe, Propeller, Dropbox, and Outlook. How do you keep track of where information lives—not just while a project is active, but years after it closes when someone needs to retrieve old records? Centralizing everything in one archive platform seems possible, but important metadata and tool-specific context may not transfer cleanly. What processes or systems work for handling both active-project storage and long-term retention?

The data owner should be responsible for deciding what needs to be retained and requesting archival when appropriate. Everything else can remain covered by the normal backup process, but that only works if ownership and retention expectations are clearly documented.
One practical approach is to reduce the number of storage silos wherever possible, then back up the remaining cloud services to controlled on-premises or centralized storage. That gives you a consistent recovery point, although you still need an inventory and a way to preserve metadata that does not transfer during migration.
It helps to separate the problem into two parts. Active projects are mostly about clear ownership, naming conventions, and process: everyone should know which system is authoritative for each type of record. Long-term retrieval is more of a taxonomy and metadata problem, so define retention rules and consistent project-level information before anything is archived.

Backups are part of the problem too. Supporting all of these separate cloud platforms means the backup system has to integrate with each one, or we still risk losing track of where the actual records are.
