I'm running Windows Server 2025 as a domain file server with about 1 TB of shared documents. Around 40 Windows 11 domain-joined clients access the files through paths such as \serversharefolder. Windows Search is enabled on the server, but it skips too many files. I need a reliable, professional search solution that users can access from their Windows 11 computers and that can search the text inside documents, not just filenames. Ideally, it should work with the existing shared-folder setup without forcing users into a completely different document-management system.

Take a look at Everything by Voidtools, especially the enterprise/server options. It’s very fast and works well for searching filenames across shared folders. Make sure you verify whether the edition and configuration you choose can index the server centrally and meet your licensing and security requirements.
Everything is a strong option for fast file and folder-name searches, but it isn’t a full replacement for Windows Search when you need full-text indexing inside Word, PDF, and other documents. For content searching, you may need a dedicated indexing or document-management product that runs a central index on the server and exposes search results to users.
That distinction is important. Everything works well for us for locating files, but document-content searching may require a separate solution or additional configuration.
A document-management system such as Paperless-ngx could provide stronger document-content search and indexing, but it would change the way employees work with the files. If keeping the normal Windows shared-folder workflow is a priority, first look for a server-based search product that can crawl SMB shares, index the required document formats, and enforce the same permissions users already have.
