I'm running Windows Server 2025 as a domain file server with about 1 TB of shared documents. Around 40 domain-joined Windows 11 clients access the files through paths such as \serversharefolder. Windows Search is enabled on the server, but it skips too many files. I'm looking for a reliable, professional search tool that users can access from their Windows 11 computers and that can search the text inside documents stored on the shared folders.

Everything is excellent for locating files and folders by name, but it isn’t primarily a full-text document search engine. If searching inside Word, PDF, and similar files is essential, confirm which formats and content indexing features are supported before deploying it.
Take a look at Everything for Enterprise. It’s very fast and can provide centralized searching for shared file servers, especially when everyone is using the same server-side index. Just verify that the edition and configuration support the access-control model you need.
A document-management platform such as Paperless-ngx could be worth considering if you need document text search, metadata, and organization. It would be a bigger change than replacing Windows Search, though, so it may not fit if employees need to keep working directly in the existing shared-folder structure.
I’m mainly looking for something that feels like Windows Search and doesn’t require completely changing how employees access and manage the files.
