Anyone else having Gmail SMTP scan-to-email trouble?

Several unrelated copier setups have started failing to send scans through Gmail SMTP, even though they had been working before. The copiers seem to be running normally. Are you seeing something similar, or have you found a likely cause?

There are reports of other mail-sending problems around the same time, including with services besides Gmail, but that does not prove there is one shared outage. Iโ€™d first separate connection or DNS trouble from an authentication failure and from mail that sends successfully but arrives late.

Check the copierโ€™s exact error and timestamps, then test the same SMTP account from another device on the same network. If that works, focus on the copierโ€™s saved credentials and SMTP settings. If it fails too, check name resolution and outbound access from that network before changing every copier configuration.

For a fleet of copiers, Iโ€™d avoid making each device depend directly on a consumer mail account. A controlled relay can centralize credentials, logging, and delivery checks. Restrict it so devices can submit only from approved network addresses, and limit what theyโ€™re allowed to send.

That still wonโ€™t make an external relay immune to delays or filtering, so check its delivery logs before treating a relay change as the fix. A small internal mail relay is another option if someone can maintain and secure it.

Before rebuilding the setup, note whether the error says login rejected, connection failed, or message accepted. Those point in different directions. Also verify the configured server, port, encryption mode, sender address, and account credentials against the current account settings. Donโ€™t assume a copier can use every authentication method a regular mail app supports.
