Since a recent change, some external recipients seem to face extra sign-in steps before they can open a shared file, and guest entries are appearing in our directory. Is there a way to simplify the process, or should we look at another file-sharing service?
Can the new OneDrive sharing flow be made less confusing?

Before changing the sharing setup, test the full flow with a few different kinds of external accounts, including a Microsoft account and a non-Microsoft email address. The available sign-in choices can vary, so the experience one person sees may not match another's.
Also review your external-sharing settings and the access policies that apply to guests. Conditional Access or MFA requirements may be adding steps, but loosening those controls just to make sharing easier could weaken security. Check which policy is affecting the sign-in before changing it.

If most recipients are getting stuck, send a short note with the link explaining that they may need to enter their email again and choose the email verification option. It is not elegant, but a clear heads-up can prevent a lot of back-and-forth.
I would also check whether the sharing link is set up for the intended people and access level. Avoid making links broadly accessible just to remove a sign-in step.

If external file sharing is a core workflow, it may be worth comparing dedicated services such as Box or Egnyte, or other options your organization already supports. Test the recipient experience, security controls, file-size limits, and administrative management rather than assuming another service will be simpler in every case.
Keep OneDrive available while evaluating. Moving users to an unapproved tool can create a bigger access and oversight problem than a clunky sign-in flow.

Agreed on testing with real recipient scenarios. A smoother link is only useful if the service still gives admins the controls they need.

That makes sense. Iโll compare the flow across a couple of account types and check which policies apply before changing anything.
