Hey everyone! I'm a long-time lurker and just got my first IT job at a small company. My manager wants me to help improve how we manage our documentation store since he feels a bit stuck in the old ways. I've tried some open-source options like Confluence and Read the Docs, but I'm not a fan of those. We're also cautious about using paid or cloud services due to some sensitive documentation we handle (no passwords though) and my manager's worries about subscription costs and security risks.
Currently, we're just storing everything on a file server as Word, PDF, and .txt files, which is making it tough to find anything. I'd really appreciate any suggestions you might have! Thanks!

We’ve been using kbpublisher.com for 15 years, and we host it ourselves. It’s been fantastic, and we also have a wiki system alongside it! Don’t overlook that cloud solutions can be super useful, especially during outages or disaster recovery.
Funny enough, I’m developing an IT documentation platform with AI Search capabilities! It’s designed to parse uploads and use file context intelligently. Features include document uploading, collaborative workspaces, and real-time editing. I hate SaaS too, so I’m making it open source!
Check out Hudu for documentation management. It’s not free, but it really ramps up what you can do—documentation, secrets, processes, and more. It’s like ITGlue but with better support.
You might want to consider using a wiki; they’re great for documentation. Just remember to document only what's necessary—bad documentation can’t fix poor infrastructure.
Getting everyone on board with a single source of truth for documentation is key, but it can be tricky! Start by listing your needs in terms of functionality, maintenance, and budget. For me, I’d always lean towards Confluence. It integrates well with JIRA, and honestly, SharePoint’s search is pretty awful.
