Should We Lease or Buy Multifunction Printers for the Office?

I've been working at my company for three years now, and we're at the end of a six-year lease on our Xerox multifunction printers. We paid around $36,000 for two units, with both printing roughly 5,000 sheets a month each, but we didn't have any preventative maintenance—just repairs when something broke down. Options for printers around here are limited, and I feel we might be better off purchasing directly from Xerox or Ricoh rather than leasing again. I'm looking for updated advice from anyone who's dealt with this kind of situation.

I used to think buying was the way to go, but leasing with a comprehensive maintenance plan turned out to be the best decision for our office. Cuts down on all that troubleshooting hassle!

Honestly, I wouldn't even consider leasing. I usually buy used multifunction printers from local shops—much cheaper. We've picked up high-quality models for a fraction of their new prices, and we just cover a monthly support fee for maintenance and toner. It’s been cost-effective for us over time, for sure!

Leasing usually sounds tempting, but there's often a better option! Buying printers outright tends to be cheaper in the long run. Just make sure to have a solid maintenance plan in place because if something goes wrong, you don’t want it to fall solely on you. Trust me, you don't want the headaches of fixing them yourself.

Definitely! Leasing with a maintenance contract can take a lot of stress off your plate. It's all about finding the right balance.

Totally agree! Many companies tend to go for the cheapest options, and those can really bite you later. A reliable fleet makes a huge difference!

My experience has been different—I preferred buying the printers and paying a service provider for maintenance and toner based on usage. This approach worked wonders for us and really simplified things! If management is okay with leasing, go for it, but be cautious about potential savings.

That sounds pretty reasonable! One of the suppliers I’m considering actually suggested a flat fee based on our current usage, which could be a good deal.

That’s quite smart! Making sure that maintenance is included is key, whether you lease or buy.

We’ve had the best luck leasing new Ricoh models and then buying them at the end of the lease. It's been a solid strategy for handling our heavy printing needs—about 25k pages daily! Just be sure to stay on top of support as they age.

Wow, that’s impressive! I can't even imagine handling that volume. Must have a robust setup!

That's a good approach! It's always a balancing act with printers in a busy environment.
