Best Solutions for Easy Conference Room Meetings with Microsoft Teams

I'm looking for a way to set up our conference rooms so that our sales team can walk in and start a Microsoft Teams meeting using only the TV, without needing a laptop or personal device. Ideally, anyone should be able to join the meeting seamlessly. Is using Microsoft Teams Rooms the best option for this? What devices do you recommend, and are there any important considerations or potential issues I should be aware of? The room typically accommodates under 10 people and is not staffed with IT resources, so I'm aiming for a setup that is as user-friendly as possible.

I suggest going for the Logitech Rally Bar paired with a Tap IP controller. It's super straightforward and user-friendly.

An alternative could be to set up a small PC attached to the TV that stays logged in all the time. Using a YubiKey for MFA can help secure a shared account. While Teams Rooms can work, they might be pricier and not ideal if you need to share content heavily during meetings.

We're currently using Poly X52 bars with a TC10 controller in most of our rooms set up for Teams mode.

One thing to keep in mind is that there will still be some user interaction needed. You may need to adjust meeting settings to allow guests to bypass the lobby, or you’ll have to admit them manually.

For smaller spaces, the Yealink A30 is a solid and more affordable option. Just keep in mind that you'll need a Teams Premium license for each device, but it’s worth it for the performance.

You could actually use a Teams Room Basic license instead. I have an A20 with that license and it works fine.

How is the Teams Premium license assigned? Do you use shared accounts for that? I know we have a few Premium licenses assigned to staff.

We’ve had great results with Yealink MVC840 systems. They handle meetings well, but they do come at a premium price.
