We're facing ongoing issues with Outlook indexing at our company, to the point where IT has to reindex almost every user at least every two weeks. Our end users, including the CEO, are set on continuing to use Outlook, but they're now considering switching email to Microsoft as they also want to use Teams. Currently, we're with a small local email provider. My question is, will moving our email to Microsoft improve the indexing issues in Outlook, or won't it really help? Also, if I made any errors in my explanation, I apologize—English isn't my first language.

I manage over a thousand installations and haven't had to reindex once. It sounds like something in your setup is off. Are you sure everything is configured correctly on your end?
I'm curious, what system are you using for email currently? Remember, Outlook is just a client—it's the backend that's crucial. If it’s not configured well, that could be your issue.
From my experience, I've never had to reindex Outlook while using Exchange Online. It seems to work better with Microsoft accounts, but that's just my personal take—I've got limited experience. You might want to dig a little deeper into the specifics before deciding on that switch.
That's what I'm thinking too. Outlook is optimized for Microsoft services, but I'm unsure about the discrepancies in your current setup.
I can barely remember needing to reindex Outlook—it was always due to a weird local setup not syncing properly. If you outsource your email management, it might save you a ton of headaches. M365 could be worth it in the long run!
Switching to New Outlook and Exchange Online could really solve your issues, just make sure your users are on board! And yes, it can be a bit pricey, but for small companies, M365 usually runs about $25/month/user, which isn't too bad for all you get.

Yeah, I'm trying to fix things after someone else's setup. Not the easiest task when issues like these pop up, right?
