What screenshot application are you providing to Windows users? I'm looking for a free option that is easy for most people to use, but ideally can also be centrally configured through ADMX templates, Group Policy, or registry settings. Basic captures are the main requirement, though annotation, OCR, recording, and documentation features would be useful for some teams.

ShareX is a strong free option when users need more control. It is highly configurable, scriptable, and supports advanced capture and automation features. It may be more powerful than necessary for ordinary users, so a simplified configuration or limited deployment works well.
Greenshot is easy to use and has helpful features for documentation, such as annotations and quick editing. However, it can be less convenient to administer because settings are stored per user and updates may require elevated rights. Make sure its maintenance and support status fit your environment before standardizing on it.
For most users, the built-in Windows Snipping Tool is more than enough. Win+Shift+S, Print Screen, and Alt+Print Screen cover the common workflows, and newer versions support annotation, screen recording, OCR, text extraction, and automatic saving. It avoids another application to deploy and maintain.
That’s what we use by default too. The built-in tool has improved enough that third-party software is only needed for specialized workflows.
Snagit is excellent for users who create lots of training material or application documentation. Its editor is very approachable, and features such as scrolling captures and capturing complete menus are useful. The downside is licensing, so it makes sense as an exception rather than the default tool.
Exactly. We use the built-in tool for nearly everyone and provide Snagit only to teams that regularly produce detailed work instructions.
I use it personally, but I’d keep the default user setup simple and reserve ShareX for people who actually need the extra functionality.
