I'm overwhelmed with managing laptop provisioning and tracking for new hires! Things have escalated since my manager left last month, and I'm now responsible for three regions alone, with a little help from a teammate. Currently, I'm using Google Sheets, which is becoming unmanageable. Our company attempted to create a tracking tool within our SaaS, but it only allows data input without any effective management capabilities—useless for large-scale operations.
I'm looking for recommendations on tools or processes to simplify my workflow and improve onboarding. Ideally, I need something that can:
• Effectively track laptops and their users—something easy to set up and preferably free since budget is tight.
• Manage the status of these assets easily (e.g., in stock, assigned, returned, lost).
• Notify me promptly when a new hire is confirmed, so I can prepare a device without last-minute stress.
Any tips on how to involve HR earlier in the process would also be greatly appreciated!

You might want to look into Siit ITSM. It has a native asset inventory management feature, and you can integrate it with your HR system. As soon as a new hire is added, it can trigger a workflow for you to handle the equipment allocation. It’s really quick to set up too! Just a heads-up, though—I work there, so take that into account!
Check out Snipe-IT! It's great for inventory management and asset tracking. We self-host it for direct access to the SQL tables, which allows us some handy integration with our systems using PowerShell scripts. That way, we can automatically update users and assign laptops. Plus, it helps us generate reports for finance to track how many assets each department is responsible for. It really boosted our efficiency!
Have you tried GLPI? It’s free and open source, covering both helpdesk and asset management functionalities. Ideal if you’re trying to minimize costs. It could really help in keeping everything organized without breaking the bank!
We use Reftab for our tracking—it's handy! Though, I jokingly call HR coordination an oxymoron. Good luck with your search!
For a comprehensive solution, consider tools like Jira, Freshservice, or Starhive. They offer asset management while also providing ticketing portals for the HR team to report new hires. Making it simple for HR to update you would streamline the whole process. Just keep in mind, most of these come with a cost, but some may offer discounts for startups or non-profits!
That sounds super complex but effective! Do you think it would be manageable for someone who’s not very tech-savvy?
