I'm looking for advice on how Mac users can effectively archive their emails in Outlook to free up space on the web host. On Windows, I know you can easily export emails to a PST file for local storage, but I'm unsure how to achieve something similar on a Mac. The Archive function seems to just move emails to a subfolder, and while the Export option allows you to create an OLM file, it doesn't let you add emails to that file later on. What are the best practices for archiving emails on a Mac?

Honestly, I just delete old emails when I don’t need them anymore. Email isn’t really a good long-term storage solution anyway.
If you're using Exchange Online, they offer an online archiving feature that’s much better than trying to manage it locally. Archiving on the client-side seems counterproductive these days.
It largely depends on your email host. If you’re using Exchange or MS365, you may already have Online Archive folders to use. Just keep in mind that some hosts might disable PST exports, so check those settings.
I’m not sure of a direct way in Outlook for Mac that lets you archive like on Windows. However, I managed to export emails from a Windows machine to a PST and then imported that PST into my Mac Outlook. This gave me access to those emails in a separate archive area. It could be worth considering!
