Is a Print Server Necessary for My Network?

I'm wondering if I really need a print server in my network setup. In our company, everyone's devices are managed through Intune, and we don't have a domain controller or local Active Directory, which means we can't use Windows Server for printing. Since all our printers are network-capable, can't we just handle everything through Intune for easy access?

You might want to check out Universal Print. Depending on your licensing, you may already have access to it. It's pretty straightforward for basic print jobs, although it's quite limited.

Honestly, Microsoft's Universal Print feels more like a cash grab. It’s included in higher-tier plans like E3 or Business Premium, and if you want standalone access, it costs $4 a month. Plus, if you overprint, there's a volume upgrade for $25 to cover 500 extra jobs! It just seems like for casual printing needs, it’s not worth it, and definitely not great for bulk jobs.

Just keep in mind that if you map printers directly, you'll end up with a lot of unique connections. This means there won't be any standardized settings like duplex printing or color options. You're basically relying on the printer's internal management, rather than having a server to handle everything efficiently. Also, Microsoft is pushing Universal Print as a replacement for traditional print servers, which could also be a factor to consider.
