I'm on the hunt for a solid documentation tool that I can share with clients. I want something that helps outline what the client wants, my approach, a to-do list, and a guide for them. Essentially, it should serve as an all-in-one documentation solution. Here are some must-haves: it should have a clean and easy-to-navigate UI, allow me to create pages in a single file, be simple to share, sync across all devices, and work even when offline. In my experience, trying too hard to create advanced systems for clients can backfire. Most of the time, they struggle to engage with any documentation that isn’t a simple Google Doc. Use colored text for statuses to keep it clear and straightforward. For anything more advanced, I just stick to my personal note-taking software. If you really need offline capabilities and multiple pages, OneNote could be a choice, but it often becomes unnecessarily complicated for just a basic project document.
I've had good experiences using LibreOffice Writer (or even MS Word). I create a document with clear section headings, insert a table of contents with hyperlinks, and then save it as a PDF. This way, it's easy for clients to navigate, and they can read it online or offline.
Notion is a great tool for personal documentation and it's pretty versatile! I've used it effectively, but I’m curious about what others think too.
Google Docs is the way to go! Keeping things straightforward avoids unnecessary complications.
I’ve found Obsidian to be really effective for my needs. It might be worth considering!
PDFs are the gold standard for documentation. They’re universally accessible and clients can easily open and understand them. Unlike markdown, which might be tricky for non-technical folks, PDFs eliminate that barrier.
I think markdown can be quite readable even for those without technical skills, and it’s easily convertible to PDF if needed!
