Help! Our Small Business Can’t Send Emails to Outlook or Hotmail Users

Since last Friday, June 13th, my small company (less than 10 people) has had trouble sending emails to any users on Microsoft services like Outlook and Hotmail. We typically send regular emails to clients for work, so we aren't involved in email marketing. Surprisingly, some clients using Outlook are also having trouble sending emails to us, which I think might be connected. I don't have dedicated IT support, so I'm trying to troubleshoot this myself. I've set up our SPF, DKIM, and DMARC records, and they all seem to be passing the checks. However, according to glockapps, our emails are still landing in the spam folder for Outlook/Hotmail users and aren't getting through to Office365 accounts. I'm really at a loss here—I've contacted Microsoft for help and verified that our domain isn't on any blocklists. Our domain has been active for almost 20 years and is hosted on GoDaddy, while we use Google Workspace for our email needs. Any advice would be really appreciated!

Verify that your SPF, DKIM, and DMARC are all correctly set up and passing. It’s also worth noting that if you send spam, it could lead to issues. But since you mentioned you're not sending any marketing emails, that might not be the case here.

All three are verified, and I can assure you we're not sending any spam. Just regular emails to clients.

Hotmail is still around? That's surprising! They still have a decent number of users, I guess!

Yeah, I still manage backups on an old AS/400 system, so I get the nostalgia back to '90s email!

You should definitely check for any email blocklists you might be on, like Spamhaus. They can really affect deliverability! If your domain and IP are clear, that's good. It sounds like you're doing everything right with SPF, DKIM, and DMARC, so keep an eye on those settings too!

I checked, and it says our domain/IP has no issues. Glockapps shows all the Google IPs we send from are clean too.

Make sure you're sending emails directly from Google Workspace. If they originate from Google, your SPF should really look like this: v=spf1 include:_spf.google.com ~all. If you're using any other services, don't forget to add those IPs to your SPF record as well.

Yes, we only use Google Workspace to send emails, and our SPF record is set up just like that.
