I'm looking for suggestions on meeting room booking software for a midsize agency that only has four rooms. The goal is to help people easily check availability and avoid claiming rooms without actually booking them. We need a solution that offers a visual overview of room availability, allows bookings through a phone or web browser, syncs with Outlook (including the desktop version and Scheduling Assistant), and permits adding participants from outside our organization. Pricing is also a key consideration since we don't want anything too expensive. We've tried Skedda, but faced issues with Outlook integration and guest access. If you have experiences with similar setups, I would love to hear what worked for you!

Plus, you can display bookings right at the room using screens, making it easier for everyone to see availability directly from Outlook or Teams!
I recommend looking into Microsoft Teams Room if you're on M365. It allows room bookings directly through Outlook, and you can get Teams Room Basic licenses for free! We also have booking panels outside each room to show schedules visually, which makes booking super convenient.
