What’s the simplest way to manage Chromebook assignments and repairs at a school?

I'm starting a contract sysadmin role at a K–12 school where every student uses a Chromebook and the environment is fully managed through Google Workspace. I need a practical way to track which device is assigned to each student, maintain inventory and device status, and handle lost, damaged, loaner, and repair cases. Is the Google Admin Console combined with a spreadsheet enough, or is there an affordable asset-management system that's easier to maintain? I'd especially appreciate advice on simple workflows and ways to automate assignments or status updates.

You can run Snipe-IT on a small virtual machine and use it as the central inventory system for computers, networking equipment, phones, printers, and more. It has an API, so you can connect it to other services and automate some of the repetitive work. For example, device serial numbers or hostnames can be matched to users during enrollment, while staff can retain manual control over checkouts and loaners.

How many devices are you managing with it? I’m curious whether it stays manageable once the inventory gets into the thousands.

We’re also comparing it with other open-source asset systems. A test installation is worthwhile, since imports can take some trial and error before the fields and device data line up correctly.

Another practical option is the endpoint-management section already included with Google Workspace, depending on the school’s license. It may provide enough device inventory and status information without introducing another system. I’d check exactly what the current license exposes, then use a small asset database or spreadsheet for student assignments, repairs, and lost-device history if those details aren’t covered.

Snipe-IT is a strong fit for this. You can assign each Chromebook to a student, track its condition and location, record repairs, and handle temporary loaners when someone’s device is missing. It can also sync users through an identity provider, which makes assigning devices and managing end-of-year returns much easier. It’s useful for other school equipment too, not just Chromebooks.
