I'm exploring whether I can lower our Microsoft 365 costs by moving from Business Premium to Business Basic. However, we still need the Data Loss Prevention (DLP) and conditional access features that come with Premium. Business Premium is already a more affordable option compared to the combination of Business Basic with Entra ID P1, Exchange Online P2, and SharePoint P2. I've reached out to Proofpoint and Forcepoint for alternatives, but I'm wondering if staying with Microsoft 365 is the most cost-effective way to maintain these key features. What are your thoughts? By the way, if we go this route, we're okay with purchasing standalone Office licenses.

If DLP is crucial for you beyond just email, that’s a dealbreaker. Proofpoint can handle email protection, but it won't help with OneDrive or other 365 tools. In your case, if someone in your organization understands DLP, then Business Premium is the minimum level you should consider.

Think about whether switching licenses will save you on admin costs or whether it could complicate compliance. Also, keep in mind that Business Basic includes only web versions of the apps.
