Hey everyone! So we have an on-premises client setup but switched to Exchange Online (EXO) for our mail system. With our previous Exchange 2019 setup, we could grant admins access to user mailboxes, which was super helpful for HR and security investigations. However, since moving to EXO, it seems we can't open any user mailboxes in Outlook, even with full mailbox access as admins. Microsoft suggested using OWA, but is there any way to stick with Outlook? My HR team really prefers it. Thanks!

From what I understand, nothing has changed in this regard; it operates the same way in both EX2019 and EXO. Assign the right permissions and you should be able to open it. Just give it a try!
I see what you mean! When you delegate mailbox access, it should auto-add to the Outlook client after a few hours unless you’ve disabled AutoMapping in PowerShell. But if you’re looking to open the mailbox directly instead of as a shared or secondary one, that's a different case. Maybe consider setting up a new Outlook profile specifically as that user’s mailbox? That could do the trick!
Good question! It really depends on which version of Outlook you’re using. Generally, all versions should handle shared mailboxes fine. If you’re on the new Outlook, it seems to rely on AutoMapping, but you might also want to check access through Purview instead. It allows targeted discovery searches which could be handy for your investigations.
We're on the Office 365 suite. It’s still about opening the mailbox directly in Outlook and not as shared. Purview has been an option for tracking, but we need something direct for testing!
Yeah, we don’t want it to appear as a shared mailbox, just directly as if it’s the user’s. So creating a new profile is the way we’re thinking too.
