How Can I Improve Coordination with Marketing Teams as a Web Developer?

I've been a web developer and project manager for over a decade, and I'm often faced with the same frustrating situation when building web pages or components. It usually starts with a request for a desktop mockup. I ask for all necessary states, content, and designs for both mobile and desktop before I can provide an estimate. A couple of weeks go by without any replies to my questions, and I'm left scrambling when they suddenly check in asking for a timeline. It's clear to me that they underestimated the complexity of the project, and I end up rushing to get it done just to get paid. This leads to tech debt and quality assurance issues, leaving me wondering how I can break this cycle. I've tried to set clear expectations about planning ahead, but it seems like I'm stuck in this never-ending loop. How can I better navigate these situations and improve our processes?
Also, if anyone wants to connect to help me move out of small nonprofit/startup environments, I'm open to that!

If you're constantly getting requests without proper specifications, try to avoid estimating time until you have all the necessary assets. If something is missing, just label it as 'blocked' so that everyone knows you're waiting on them. And yes, using a ticketing system with clear acceptance criteria can significantly reduce the confusion and back-and-forth. It puts the onus on them to provide what you need to move forward.

Honestly, it sounds like you're dealing with folks who might not be experienced in managing these processes properly. The best companies have structured systems in place to avoid the mess you're describing. If those you're working with aren't willing to improve, it might be time to look for a new opportunity where the processes are already in place. But in the meantime, make sure to clearly lay out the requirements step by step for everyone involved!

Why do they keep asking for mobile designs when they haven't even finalized the desktop version? It’s often better to hold off on extra complexity until absolutely necessary. If it gets more complicated, definitely add more hours to your estimate! They rely on your expertise, and it's reasonable to charge for extra complexities if they want everything.”}]} The above answer will help the poster hold others accountable and ensure their work aligns better with everyone’s expectations. This should, over time, give them more confidence in their role and potentially lead to more satisfying work experiences.

I feel your pain! At my company, we implement a ticketing system for all requests to track communications and changes. This way, there’s an official record of what’s been discussed, which helps manage expectations. One saying I love is, "Your failure to plan does not constitute an emergency on my end!" It's tough, but solid documentation is key in these chaotic situations.
