How to Handle User Errors with Shared Mailboxes in Office 365?

Hey everyone,

I'm looking for some advice on a growing issue we're experiencing with shared mailboxes in Office 365. We have several shared mailboxes with multiple users who all have full access. Recently, one of the users accidentally moved an email from the shared mailbox to their personal mailbox, leading to complaints about missing emails.

This seems to be happening more often and I recognize it's primarily a user error. I'm curious if anyone else has faced this issue and what strategies you might have used to handle it. Any help would be appreciated!

Thanks!

I totally get where you're coming from. This is more of a people problem rather than a tech issue. Make sure everyone knows how to handle shared mailboxes, and document each incident thoroughly. Trust me, covering your back is important; otherwise, you'll be blamed for their mistakes!

Documentation is key! Make sure you're tracking these incidents to protect yourself. It's also a good idea to talk with the users' manager and suggest some training opportunities. This approach can really help prevent future problems.

This is clearly a classic case of user error. Make sure you’re documenting everything like it's a serious incident – loop in both the users' and your manager. Consistently sending those CYA emails will help protect you in the long run. If it’s not in writing, it’s like it never happened!

You're right; this is definitely user error. It might be beneficial to bring this up to your management and let them deal with it. I’d recommend encouraging users to forward emails instead of moving them. Also, double-check whether all users really need full access to the shared mailbox in the first place.

Consider offering training as a solution, or if you want to go a more technical route, think about moving users to E3 licensing and enabling legal holds on mailboxes for recovery. It's funny how people often prefer the free option when solutions are presented!
