I'm the IT director at a college and we're currently using Google Workspaces for our email, but the staff really doesn't like Gmail, and honestly, I find it frustrating too due to the lack of effective management tools. I'm looking to switch us over to Microsoft Office 365 for our email services, but I'm concerned about the potential pain points during this transition. Has anyone here made this move before? What steps did you take to minimize downtime and avoid losing any emails?

We made a similar move about a year or two back. It wasn't technically hard, but we faced resistance from some staff who didn’t want to switch. We had to encourage them, which led to some complaints about lost emails. What worked for us was migrating inboxes first so users could see their important emails in the new system before we switched DNS. We also kept the old Gmail accounts open for a couple of months for anyone who needed to retrieve that one email from last year.

Why not consider a mail service that doesn’t lock you in, like using IMAP? It could save you from vendor lock-in issues later on.
