Is onboarding automation software like Freshservice worth it compared to building a Logic App?

I'm currently using Logic Apps to automate our onboarding process, which is triggered by events from our HRIS system. The setup is pretty smooth: it sends an Adaptive Card to a Teams chat for IT and HR, where HR can verify information, make adjustments, and decide whether to approve or reject user creation. Upon approval, the Logic App creates the user in Entra, grabs a password via API from password.ninja, assigns a base license, notifies the chat with user details, and alerts other departments for further action. I'm also working on integrating it with SharePoint and M365 sites/groups, as well as some third-party systems that don't support SSO/SCIM but have API access. Overall, this entire system costs less than $5 a month, though it would be cheaper if we didn't have high turnover. It reduces errors and speeds up the onboarding. Given that many onboarding automation tools seem to be drag-and-drop solutions with various service connectors, I'm wondering if I'm missing something by not using these offerings?

If what you’ve built is working well, you might as well stick with it! Commercial products often come with polished interfaces and integrations, making them easier for those who lack the skills to build something from scratch. But if your team can handle development and maintenance, leveraging those skills to save money is a huge advantage.

Your setup with Logic Apps is clever and shows how effective having a well-connected system can be. We've experienced similar challenges while automating at IrisAgent, starting with basics and adding more integrations over time. It’s worth noting that while drag-and-drop tools are user-friendly, they can struggle when you hit edge cases. Maintaining all those API connections can often be the real headache.

It sounds like your Logic App solution really works for you! However, if you’re consolidating everything into one IT service management (ITSM) system like Freshservice, it could simplify your processes. A comprehensive ITSM can help you manage roles and permissions better while ensuring collaboration across teams like HR and IT. Just keep in mind that Freshservice is generally designed more for customer support than pure IT services.
