Can I Cut Costs by Switching from M365 Business Premium to Basic Without Losing Key Features?

I'm exploring whether I can lower our Microsoft 365 costs by moving from Business Premium to Business Basic. However, we still need the Data Loss Prevention (DLP) and conditional access features that come with Premium. Business Premium is already a more affordable option compared to the combination of Business Basic with Entra ID P1, Exchange Online P2, and SharePoint P2. I've reached out to Proofpoint and Forcepoint for alternatives, but I'm wondering if staying with Microsoft 365 is the most cost-effective way to maintain these key features. What are your thoughts? By the way, if we go this route, we're okay with purchasing standalone Office licenses.

If DLP is crucial for you beyond just email, that’s a dealbreaker. Proofpoint can handle email protection, but it won't help with OneDrive or other 365 tools. In your case, if someone in your organization understands DLP, then Business Premium is the minimum level you should consider.

When considering costs, don’t just focus on the price tag. Look at the total cost of ownership too. Think about whether switching licenses will save you on admin costs or whether it could complicate compliance. Also, keep in mind that Business Basic includes only web versions of the apps. Will that work for your users?

If you switch to Business Basic, you'll lose a lot of functionality! Think about this: you’ll be missing out on the M365 Desktop Apps, Defender for Business, and crucial DLP features. Replacing Microsoft's tools with third-party ones can be a hassle since they often don’t integrate as seamlessly. I wouldn’t recommend this change just for a few bucks.

Nope. Just a hard 'no' on that one. If DLP is important to you, don’t skimp on it by downgrading. Stick with Business Premium or at least find a way to maintain essential features.
