How can I effectively analyze and back up a large Gmail inbox?

I'm looking for advice on managing a large Gmail inbox because the built-in tools aren't meeting my needs. I want to get a clear understanding of what's in my inbox, including sizes, attachments, and older emails. Additionally, I'm looking for an effective way to create a backup that I can preserve independently from Google, while minimizing any messiness for future restoration. I've tried using Google Takeout, but it's confusing and not ideal for ongoing backups or analyzing my inbox contents. If anyone has experience dealing with large Gmail inboxes, I would greatly appreciate your advice or workflows rather than suggestions for specific products. Thanks!

A solid option is to link your Gmail to the modern Outlook client. It provides the features you're looking for, like analysis tools and easier management of emails.

I’ve had success with MailStore Home. It's a powerful backup tool, but the interface can be a bit complex at first. I usually back up and delete emails that are over a year old, archiving them in MailStore where they can be easily searched. You can also back up without deleting if you want to keep everything in your Gmail account. I really need to do it again soon, though!

Thanks for sharing your experience! I’ve heard MailStore can be pretty intricate, but I’m curious about searching through archived emails. Is it easy to find specific conversations, or do you mostly use it for occasional access?
