What should I charge for developing a custom web application for a clinic?

I've been working on creating a custom web application for a medispa clinic from scratch, and I want to get some opinions on how much I should charge for it. The app includes a landing page (with basic design), a booking page that allows for service selection and user confirmations via email, an internal administration portal with employee management features, integration with Twilio for VOIP, and email setup with Google Workspace. Additionally, I had to implement PDF generation for forms and I manually indexed over 150 input fields. My client is now pushing for a lower payment after we initially agreed on a higher price, along with requests for extra features like Google Analytics and customer account creation. I'm unsure about pricing and how to manage expectations for ongoing work. Any advice?

Honestly, pricing this retroactively is tricky, but look at the overall effort you put in. With all the features like booking flows, email integrations, and that admin panel, it sounds like a big job! For future projects, I’d suggest aiming for $15k-25k at minimum, and consider breaking tasks down into phases with charging based on milestones. Don't forget a few rounds of included revisions to keep things manageable!

Based on the features you've implemented, I'd say you should at least consider charging around 25k CAD. The stuff you're doing sounds like it requires a lot of work, around 80-120 hours or more, especially with the detailed mapping and backend setup. I get that your friend is pushing for a lower price now, but for future projects, you should definitely set clear scopes and have some revision limits—trust me, it'll save you a lot of headaches down the road!

It sounds like you've got a big project on your hands. Since you're implementing complex features like payment processing and PDF generation, you might be looking at 12-15k as a solid starting point for a project like this. Be clear about what's included in the base price and keep track of any additional features they request after the initial agreement.
