I recently became the IT Manager at a small mechanical and specialty vehicle shop with around 100 employees. Currently, we're using QuickBooks on-premise, which is working for us now, but the head accountant is quite familiar with it, and we know we need to switch eventually. The company file has grown to 2.6 GB and we don't think QuickBooks Online is a good fit. We're hosting it on a local server, with remote staff accessing it through an RDS server. I hope to reduce reliance on our server in the near future since it mainly runs QuickBooks and stores files. I'm not an expert in accounting software, and in my previous IT role, I didn't handle migrations from QuickBooks to other products like Sage. Any suggestions on alternatives to QuickBooks? And if a switch isn't feasible right now, what about options for hosting QuickBooks? We're considering Azure Desktop through Nerdio.

Based on my experience, once a company exceeds around $2 million in revenue, QuickBooks just doesn't cut it anymore. I’d recommend looking at options like Acumatica, Intacct, Microsoft Dynamics, or Sage products. When evaluating these, make sure to document your core requirements, such as inventory management or billing needs. It’s important to involve various people from your business in this process because it's not just an IT issue; it's also a business one.
We switched to hosting QuickBooks with Rightworks and have had a great experience for about 8-10 years. They’ve been reliable and allow remote access for our staff, which might work for your situation! You should definitely consider them.
Don't hesitate to consult your accountant about switching accounting software. They can provide valuable insights and recommendations. As a new hire, it’s better to gather external opinions first, so you won't bear the brunt if things don’t go smoothly.
