What’s the Difference Between Work Email Encryption and Encrypted Online Email Providers?

I'm trying to understand the difference between the email encryption process used at work and the encryption offered by online email providers like ProtonMail. At my job, when I send sensitive information, the recipient has to click a link, create a username and password, and log in to access the message. In contrast, with providers like Proton, the email is encrypted but the recipient doesn't have to do anything extra to read it; the message is just available to them. Why is there such a difference in how these systems work? Does one offer better security or is one more secure than the other?

Absolutely! If you don’t encrypt your message before handing it over to an app, you're really rolling the dice on security. Just relying on the app isn’t enough. It’s better to take steps to make sure your content is secure from the get-go!

So, the encryption methods differ mainly in how they handle messages. Services like ProtonMail encrypt messages at rest and use TLS encryption during transmission but, if the recipient isn't also using Proton, there's no guarantee that their end is fully encrypted. On the other hand, the work email system you're using adds a layer that usually ensures the message itself is encrypted or securely stored. Plus, it often includes an audit trail, which is important for workplace security. You could also look into PKI encryption like GPG/PGP, but those methods don’t always come with the tracking features your workplace likely needs.
