Why is my print server affecting other departments’ default printers?

I set up a print server for my company today and managed to get one test printer running just for our IT department. Initially, everything was fine, but shortly after, I got a call from another department saying their computers had defaulted to our test printer. A few other departments experienced the same issue, while some didn't see any changes. How is this even possible? Also, despite setting the printer permissions to only allow the IT department, other users from outside our department can still see and add the printer. How can we completely restrict access to this printer?

Or maybe your printer is just possessed! Seriously though, if all else fails, consider doing a factory reset on the printer settings and starting fresh. It’s not fun, but sometimes you’ve got to put the printer in its place!

Your printer may unintentionally be misconfigured. Check the GPO settings and user permissions. If others can still see it, you might need stronger restrictions or network segmentation in place. Just a thought—could this be a network discovery issue?

It sounds like you might have linked the printer's GPO (Group Policy Object) to the wrong Organizational Unit (OU). If you initially set it up for individual users instead of the department level, it could explain why other departments are being affected. Try relinking the GPO to the department OU for better results!
